"Records Management is the field of management responsible for the efficient and systematic control of the creation, maintenance, use and disposition of records." (from the ISO definition). |
Records Management ensures that clients (particularly in privacy-sensitive industries such as finance, legal and government) comply with legislative requirements governing the storage and disposal of records. RM governs the creation, maintained and disposal of information so that it can be effectively used and managed by that organization.

The client, part of the Provincial Government of Ontario, needed to comply with legislative requirements for retaining records of government transactions. Unfortunately, many parts of the government had not complied with that legislation for over 20 years – and the files often consisted of 20 years of disorganized repositories of paper.
The client needed records retention schedules to formalize and document what information was being kept and for how long. Records retention schedules are formal legal documents describing the client, their mandate, their files and how long they kept them for. They demonstrate accountability and transparency in government. Additionally, the client needed to dispose of unnecessary records (such as duplicate copies), for faster retrieval of retained records, added security, and saved space which translates into money saved in square footage for storage.
I created the records retention schedules and File Directory Structures, thus helping the client fulfil the legislative requirements. Schedules were created using a standardized interview process and accompanying template created by the Archives of Ontario. Taxonomies (or File Directory Structures) were created to organize the records.
